CallBill Compact Database

Use the following procedure to Compact the Callbill database:

Notes:

The following is a maintenance task, and should be performed regularly to prevent interruption of call record collection.

If the callbill database exceeds 2GB of data you won’t be able to retrieve new records from the PBX via Record Processor ➤ Get Transfer Files. If you open the log file (eg, cbrp180301.log), you will see a large number of duplicate records. For example:

3/1/2018 12:01:18 AM, Site: PBXBOOK. Record Processing 
complete - 15 complete records, 2165 duplicate records ( 00:01:11 ) 
3/1/2019 12:01:19 AM, Update Unknown DN's: 0 new entries

And the next day:

3/2/2018 12:01:23 AM, Site: PBXBOOK. Record Processing 
complete - 0 complete records, 2484 duplicate records ( 00:01:14 ) 

Steps to Compact the Callbill database...

1 Archive legacy data:

  1. Shut down the Reports module if it is running.
  2. Open the Callbill Record Processor
  3. Select File ➤ Site from the Main Menu
  4. Ensure that Site1 is highlighted on the sites list
  5. Select File ➤ Database maintenance from the Main Menu
  6. Select the dates you wish to archive using the Archive Call records between option – (Archive what you want to remove from current database)
  7. Click the Browse button and Callbill will automatically put a timestamp on the database filename. If this is OK, click Save.
  8. Ensure that Delete call records after Archive is checked, and click Create Archive File.
  9. Do not shutdown the Record Processor while it is archiving the data. A message box will appear when it has completed.

2 Compact the database:

  1. Open the Record Processor
  2. Select File ➤ Compact Database from the Main Menu
  3. A message box confirmation will appear when it has completed.
  4. Navigate to the C:\Callbill3\Rec_pro\data folder and check the file size of cbsite1.mdb, confirm that it is now under 2GB.

Once this is completed, the call database wll be under 2GB and everything back to normal as far as record retrieval and reports.
